What Makes up a Student Record

A file should be created for each student in a school which may contain:

  • Information sought and recorded at enrolment, including the following: student name, address and contact details, names and addresses of parents/guardians, previous academic record, any relevant special conditions which may apply.
  • Academic record, including previous academic record; subjects studied, class assignments, examination results as recorded on official school reports
  • Records of significant achievements
  • Records of disciplinary events and/or sanctions imposed.
  • Record of attendance and punctuality
  • Other records, e.g. records of any serious injury/accidents
  • Written instruction of access concerning custody arrangements ,where a student’s parents may be separated, divorced or living apart
  • Sensitive information retained in a student’s personal file
